ANNUAL SUBS INFO…..

To All Concerned at Ormskirk RUFC,

For the 2009/10 season the Club Committee along with myself as membership secretary have instructed the individual team captains to be more proactive in the collection of subscriptions and match fees. In the past it has been felt that not all members have fully appreciated the importance of the timely payment of these dues. Last season the club actually lost money and the cash flow for next season is looking pretty tight. Hence the need for change! This email may seem a bit tedious and long but it is important to get the message across and make people fully aware that we will not accept people who continue to avoid paying.

The annual subscription rates for 2009/10 are listed below on this email. The match fee rates will remain at £4 per match, with the 50% concessionary reductions continuing to apply for students and those who are unemployed. No real changes there then.

What has changed is that members of the 1St Xv and 4nth XV are being asked to trial and set up a new monthly standing order to the club for the settlement of annual subscriptions and weekly match fees. In order to calculate the amount of the payment it will be assumed that full members of the club will actually play 20 matches per season. Logistically it is unlikely to be possible to differentiate between ‘full games’ and ‘half games’. This will be 8 monthly payments starting in September and ending in April for a total of £150. (£70 annual subs and 20 matches at £4 = £150.) It will be the responsibility of the player to fill in the standing order form ( which will be handed out at training or be available from behind the bar) and post it to their own bank stating that £18.75 will be paid immediately and then the other 7 payments will go out on the first day of every month. All players who do this must notify myself by email andy.wroe@florensis.com or phone/text me (07989 386114) to confirm that they have set it up. Anyone who cancels their standing order without good reason, without notifying myself, or due to lack of funds in their own account will be asked to pay a fine (as in the case of the ‘ Lack of funds’ in their own account) we will get charged by the bank. The club bank details are as follows

HSBC, 5 Moor Street,Ormskirk Lancashire L39 2AB. Account – Ormskirk RUFC, a/c 10633038, sort 40 35 29

Once I am notified about your commitment to the standing order scheme I shall notify all team captains. I shall then issue a receipt the next time I see the player from my receipts book that can be used as a log and to chase the slower payers.

For those in the 1st XV and 4th XV team who don’t want to commit to this standing order system and for everyone else in the club you can pay a cheque ASAP in the usual way made payable to Ormskirk RUFC for £70 ( Concessions see below) which is for your Annual Subs and then continue to ‘Pay as you Play’ with the £4 match fee per week. If anyone wants to post me their cheque to get it done and dusted, they can send it to myself at 8a Crawford Road, Crawford Village, Lancashire WN8 9QP. Or if you wish to, you can give cash or cheque over the bar, or to Anna O’Malley, myself or Brian Stevenson. You will be issued a receipt that can be shown to captains to prove payment has been made.

Please note that the captains will be given a new match subs sheet each week which they must fill in and put behind the bar listing who has played that day and who has or hasn’t paid. Those players who consistently avoid paying the £4 match fee’s will be given 2 weeks to pay up or they will not be picked to play the following week. These sheets will record those who don’t pay and this will not be forgotten as in previous years.

If players want to get their payment out the way with in one go they can pay £150 straight away and then it’s done for the season.

If people do not pay up their annuals subs by 30th November 2009 they will have to pay extra as listed below in brackets.

Players who drive other players to away fixtures, and who have committed to the standing order system, will be reimbursed their match fees on the day of travel, For the avoidance of any doubt I am asked to remind you that this is only for members who drive to the club first and take other players in their car. Those players who go ‘direct’ to the game – i.e. without other players – will not be reimbursed for their travel costs.

I urge all 1st XV and 4th XV to commit to this new system since not only would this make life easier for me and the 4 team captains but it will also provide the club with a regular income stream. It obviously goes without saying that the club would appreciate the payment of annual subscriptions in advance of the new season, for those who are able to afford it. This will greatly assist with the immediate cash flow of the club.I’d like to emphasize that this is only a trial. If it works out well with the 1st XV and 4th XV then we will look at rolling it out to everyone for 2010/2011.

If, for whatever reason, you are either unable or unwilling to commit then please contact me and we can discuss this. However I am not taking any of the usual excuses ( this has been instructed to me by the committee)

Finally I would remind you all that the club has always had a ‘no pay, no play’ policy for individuals who choose to keep their cash in their pockets. This has not been adhered to in the past but will be followed in 2009/10. If you have not paid your annual subs for the 2008/2009 season then you will not be allowed to play in the 2009/2010 season until you settle your debts. Those people know who they are.
